How to View Orders

View Order History

 

Above is an overview of the Order history page and other important features to consider:

 
  • The order history table for the particular period (time & date) filtered (green box), with the following columns:

    • Date Created - the date the order was created

    • Order Id - generated for every order that is created

    • Bill Reference - the reference used by the customer in paying for the order

    • Service - the service for which the order was generated

    • Currency - the current currency in use

    • Amount - amount payable for the order

    • Number of Attempts - number of times a payment has been attempted for the order

    • Status - the current state of the order

    • Receipt Number - the generated number for an order that has been fulfilled

    • Actions - view details of the order

 
  • The date and time picker for filtering through orders (orange arrow)

  • The search bar for filtering through orders (yellow arrow)

  • Pagination toggle (blue arrow)

  • Filters (red box)

    • Filter by Status

    • Filter by Service

    • Filter by App

 

Order Search

To search for an order, do the following:

While logged into your Billbox account, go to the Orders menu.

  • In the search bar at the right of the Orders page, you can search with:

    • Name of order

    • Bill reference

    • Order Id

    • Receipt number

  • A list of orders that match the search key will be listed.

  • Look through the list for the desired order

 

 

View Order Details

 

To view the details of a specific order, do the following:

  • Go to the Orders menu

  • Search for the particular order

  • Go to Actions column and click the View icon (as shown in the screenshot below)

 

 

The Order Details screen should pop up as indicated in the screenshots below:

 

 

Order Details Components

 

Ideally, the final status of any order should be FULFILLED. Below we look at the components that make up details of a fulfilled order:

  • Order No. - the Id assigned to the order when it was created

  • Created At - this is the Financial Institution where the payment was made 

  • Date Created - the date and time the order was created

  • Billbox Invoice -  an Id generated by Billbox for the order

  • Service - the service for which the order was generated 

  • Invoice Total - the amount paid for the order

  • Status - the current state of the order

  • Number of attempts - number of times a customer has tried paying for an order

  • Payment date - the date and time the order was paid for

  • Fulfillment date - the date the order was fulfilled

  • Transaction Id - the transaction Id for the payment

  • Receipt Number - the receipt number generated for the payment of the order

  • Payment Channel - channel through which the order was paid for

  • Channel transaction Id - the transaction Id generated via the payment channel used

 

Order Status

There are 5 different statuses an order may have:

 
  • OPEN - the order has been created and is yet to be paid

  • PROCESSING - payment has been initiated but is yet to be finalized/completed

  • PAID - customer has been debited but service is yet to be rendered

  • FULFILLED - money has been collected from customer and service has been rendered to customer

  • CANCELLED - the order has been cancelled

 

Below we look at the various components of the order details view for each of the order statuses.

 

Open Order Details View

 

 

You can check the status of an OPEN order by clicking the Check Status button (blue arrow). If the status of the order is updated, eg. the order has been paid for or cancelled, the Status on this screen will change.

 

Notice that for an order with an OPEN status, as compared to an order with a FULFILLED status, the following components are not available:

  • Payment date

  • Fulfillment date

  • Transaction Id

  • Receipt Number

  • Payment Channel

  • Channel transaction Id

 

This is because the order is still open and has not been paid for, and hence you should not expect these components until the status of the order changes.

You notice that for a PAID order, there is no receipt number and this because the service is yet to be rendered to the customer.

 

Cancelled Order Details View

 

Filter by Status

You can filter by the status of an order or choose ALL to filter for all statuses.

To filter orders by the status, do the following:

  • On the Orders page, click the Status field (as indicated in the screenshot below)

  • Select the preferred status or ALL

  • View the filtered list in the table

 



 

Filter by Service

You can filter by the service for which an order was generated or choose ALL to filter for all services.

To filter orders by the service, do the following:

  • On the Orders page, click the Service field (as indicated in the screenshot below)

  • Select the preferred status or ALL

  • View the filtered list in the table

 



 

Filter by App

You can filter by the apps under which an order was created or choose ALL to filter for all apps on your account.

To filter orders by the app, do the following:

  • On the Orders page, click the App field (as indicated in the screenshot below)

  • Select the preferred app or ALL

  • View the filtered list in the table
